I am genuinely interested in helping people. I take the time to connect with your employees personally. I take the time to get a feel for who they are. I’m here to help “you”. Once your employees know I care, they open up to me and are more willing to listen to me and follow my advice. Which helps your business grow.

Listen carefully, to what your employees say, pay attention to the small details. The small details are what tell you what someone is like. Pay attention to their jokes, how they behave with others, what are the other employees saying about them.

Is someone always cracking jokes or are they more on the serious side? Is someone always mad, or has drama going on in their life? Do they bring their personal life to work? Do they keep their two worlds separate? Are they always happy? Sad? Energized? How are the people around you behaving?

You need to answer those questions before trying to get an answer. I answer those questions when I meet someone. I can meet one of your employees for a couple of minutes and know if they are serious, funny, high-energy, shy, a jokester, or a drama queen.

If you feel like your employees are having trouble, you know you need to find a solution quick but don’t know where to start. You don’t know your employees that well and there have been strange situations recently. You don’t know how to describe it. And you don’t know where to start looking for solutions.

I don’t say, “I love working here!” while standing still. I say it with my body language too!

Powerful dynamics give my speech the extra juice it needs for your employees to receive it well. People learn by example. They need to hear and see how happy and passionate you are to repeat that same energy in their lives.

For them to see how passionate I am, I need to keep them focused. I scan the audience to see who’s focused and who isn’t. How? If I notice you aren’t paying attention, I make more eye contact with you and get close to you. By getting close to you, you start paying more attention because of the possibility of me asking you a question.

I go the extra mile by having my audience do a short drill, like getting up, stretching, or doing a short activity to keep them focused. Once they’re paying attention to me, they’ll take in the information I’m giving them.

To know what type of attention spans I can expect from my audience, I find out what type of people I’m speaking to before. For example, if I’m talking to technical people, I’ll include a ton of facts and numbers to communicate.

I won’t be my energetic natural self or be all over the place with my emotions and dynamics. If my judgment tells me I need to adjust my dynamics and behavior mid-speech, I’ll adjust them.

Adjusting my speech midway makes my speeches sound natural and genuine, like a conversation. I don’t sound rehearsed and I’m never stumbling over what to say next. That adds more weight and authority to what I’m saying.

At the root of every problem, there’s some sort of people’s problem but the key to success is to learn how to deal with them.

People’s problems come down to two major factors which are what I base my topics and talks on: human behavior and communication.

Communication between two people only happens after they feel comfortable with each other. Otherwise, there isn’t going to be any communication going on, leading to future problems.

How do you fix that problem? Find the root cause and fix it. Get an answer as to why they don’t feel comfortable enough to communicate with each other. You can literally ask them. It might be as simple as them just being shy and introverted.

Whatever the problem is you can categorize it into either of the following three topics: understanding human behavior, generational communication and influence, and professionalism and customer service.

Once you put your problem into one of those categories, the process of finding solutions becomes easier. Talk to an expert for a faster and more precise answer, it’ll help you save time doing research on your own to find an answer.

To give you an example of a communication problem, there are people I know that have lost track of what leadership means. They don’t know how to provide it for their employees. They tell me they have visions of promoting one of their employees, but they tell me the employee isn’t ready, doesn’t have the skills or full awareness of what the job involves.

With this information, I categorize the problem into professionalism and customer service. I know the root cause of this problem is a lack of guidance. The way my client told it to me made it seem like the employee has a problem but in reality, it’s the manager that lacks the ability to provide proper leadership to that employee.

The manager needs to show and teach the employee what needs to be done, the technical skills, the scope of work, and any other relevant detail to do a good job. The employee needs to be groomed, prepared, and developed properly.

That’s where the difficulty of providing a solution is because you can’t provide a real solution until you know the real problem. In most cases, you aren’t told the real problem, you are told whatever version of the problem that makes the person that’s telling you to feel the least amount of guilt or responsibility.

You’ll hear their version of the problem but it’s your duty to strip away all emotions and look at the problem logically. Ask questions to find the root cause. Once you know the root cause, you can work on a solution. With a proper solution, you can construct the perfect speech.

The perfect speech resonates with your employees because the perfect speech talks about a specific problem they’re having. When I speak, I use your employees’ language. They’ll open up to me because they know I understand them.

They know I can help because I’ve been through the same problems. Knowing the real cause of why some team members aren’t communicating. There might be someone in the group that’s a lone wolf and hates teamwork.

Instead of just telling him/her to work and communicate with the other team members, you need to find out why he/she hates teamwork? What bad experience in the past made him/her hate working in a team to the point where it’s affecting his/her job?

For example, you might come up to me and say, “Victoria, I’ve noticed friction and issues my employees. They’re having trouble communicating with each other. Do you know how to fix this?”

My first step as a speaker and trainer is to ask you for more information. You need to find the real reason and You do that by listening for details that others tend to miss or pass as not important when they are. Which is why I go through a thorough list of questions. The list looks something like this:

  • Can you give me examples of when they should’ve communicated but they didn’t?
  • Are they always having trouble communicating with each other or is it on occasions?
  • What do YOU think makes them not communicate with each other?
  • If you hire me to speak for them, will they feel forced or are most of them open to attend extracurricular activities?
  • Do your team members understand exactly what their roles and responsibilities are?
  • Not knowing one’s responsibilities and expectations causes issues, as you may already know or have experienced?
  • Does one of them not like one of the other team members and that’s what’s causing the issues with them?
  • Are they just being lazy?
  • What is the root of their laziness?
  • How can you motivate them to work harder?
  • Is it too hot in the office?
  • Is the music not to everyone’s liking?
  • Does the work day start too early?
  • Do they leave too late?
  • Are they expected to work overtime, even if that means not getting paid for staying overtime?
  • Is there anything holding you back from helping your team?
  • What exactly do you want from me and what’s the best way for me to help you?

Think carefully about these questions. You’ll start to understand the issues going on with your employees. Miscommunication is the consequence of more deep-rooted problems. Problems that if not addressed, lead to more problems in the future.
To find your employees’ problem, you need to know their needs. When you know their needs, you start speaking their language. When you speak their language, your employees feel appreciated and taken care of. They see you as someone that can help, that cares about them and wants them to succeed.

They open up to you and share parts of their life they haven’t before. They share more with you and are thrilled to do so. You want your employees thrilled and motivated to go to work. That’ll make them want to stay with your company for longer.

These people are drowned in spreadsheets, paperwork or any other type of task that doesn’t require teamwork and if it does, it’s not that often.

Tends to be people like engineers, accountants, IT people, and marketers. On the other side of the spectrum, there are people that get bombarded with too many requests and tasks by others. Mostly staff employees in industries like construction and healthcare that keep getting orders from their superiors or clients.

Whether your employees get bombarded with requests from the customer service side of their job or focus 100% of their time on one task, they need a small break. Something to clear up their minds and let them see the bigger picture. Rather than getting funnel vision on small tasks.

It’s a great characteristic if one of your employees can focus for hours. But social and communication skills are like a muscle, “If you don’t use it, you lose it.” That’s why you shouldn’t let someone focus solely on one task for longer than a few days. Find a way to help your employees finish their tasks and get them back working together with the rest of the team.

Don’t get me wrong, I believe in hard work but your employees can’t and shouldn’t be alone for extended periods of time. That’s a rule of thumb for everyone, inside and outside of work. They need the other team members to perform the job as efficiently and quickly as possible.

So what’s the correct way to motivate your employees to work hard, but also have fun and enjoy each other’s presence? When you think about questions like those you start to understand your employees better. It helps you notice when they are motivated or discouraged, and empathize with them. That makes your employees see you as part of their group and helps you connect and bond with them.

You may be wondering what’s this bonding and connecting all about? However, you have nothing to lose trying to build a better relationship with your employees. Instead, you can get a fabulous friendship out of it, plus a lifelong employee. You should never see building a friendship as work.

Start seeing everyone as human beings with emotions, problems, whether they’re professional or personal. Every person has dreams and aspirations that mean the world to them. It’s the fuel that keeps them going everyday and gives them hope of a better tomorrow.

Be the person that nurtures these dreams and helps accomplish them. If you help your employees, they’ll naturally want to return the favor. How will they do that? By working harder and better. Everyone wins.

Ask yourself, “How do I start to understand my employees better? How will I do them a favor that’ll mean the world to them?” Get to know them. Learn how to read them. Learn how to understand them. It’s not easy, you’ll need a lot of patience but that’s how every relationship works.

Whether it’s personal or professional, you can never get along with someone else if you aren’t patient or aware of their feelings. This isn’t an easy process, especially at work. You’ll need to bring your whole personality, not just your technical expertise but your emotional expertise as well. Bring your human side to the workplace.

It takes time and effort, but trust me that you’ll feel much better after you start to care more for your employees. Your employees may not like talking about the same subjects that you do. Some may like talking about work or their personal life. Others may hate talking about work or their personal life.

I’ve met smart people that during their free time, they like talking about nonsense or mundane subjects. You have the philosophical people, that like talking about subjects that stimulate the mind. Then, there are the ones in between, that like to joke around but also like having a serious conversation every now and then.

You can separate them into the following categories: serious, easy-going, and funny/dorky personality. The serious type won’t talk just about anything, the easy-going tend to “go with the flow” so they keep the conversation regardless of what you talk to them about. The funny or dorky tend to turn everything into a joke.

Try to separate your employees into one of those categories and you won’t have to think too hard of what to say to each one. Why? Because you can choose a subject that falls into one of those categories and your employee will feel like you’re talking specifically to them.

Try this new technique of talking to each person according to their personality type for a couple of weeks and notice if there’s any change from them. If they’re more open to what you have to say or the opposite, became more distant.

Now that you’ll be talking more to your employees, be careful about the relationship you think you have with them. It may not be as solid as you think. There’s no sure-fire way of testing this, you’ll have to go with your gut feeling.

A good rule of thumb is to always stay away from offensive jokes, even if they seem harmless. You may be hurting someone and they won’t show it. They may laugh but that doesn’t mean they like you or enjoy spending time with you. Nobody likes to be offended or ridiculed, nor they’ll stand it for long.

They laugh because you’re their boss and they have to pretend that you’re funny or that they enjoy spending time with you. Whether you’re a good boss or not, that doesn’t mean your employees are going to like you for who you are. Be careful.

This type of people that don’t show their true feelings are harder to read and throw you off on how they feel. It’s mostly the funny/jokester people that fall in this category. They laugh and turn an offensive comment into a joke to not show their pain.

That’s why it’s important to know each of your employees’ personality type to avoid communication issues. Issues arise from a comment, not giving an apology, not saying thank you, or any other small detail that tends to go unnoticed.

Just because it’s not offensive or important to you, that doesn’t mean it’s not offensive or important to someone else. You need to be socially aware if you don’t want your company to have a high turnover rate. Start being nicer to everyone at the office.

That includes being nice during stressful times, not just when things are running smoothly. There’s no need for cursing or yelling at anyone, that’ll only end up badly for you and good for your competitor when your employee goes to them looking for a job and shows them all of your procedures.

Think carefully about how you’re treating your employees. Think about their personality types. Most important of all, don’t take your employees for granted. They can leave as easily as they came. You have a pretty good idea of what to talk about, but you still need to learn how to adjust yourself to them.

How do you go from being serious to joking around? It’s two completely different personalities. It’s similar to what people with multiple personality disorder experience, except you’re changing personalities on purpose.

Don’t think, it’s a drastic change either, it’s not like you’ll be a completely different person. It has to be subtle. To start, you’ll have to consciously think about the type of conversation you’ll be having.

For example, if you’re talking to someone serious, you need to think, “serious talk.” When you talk to someone funny think, “jokester/funny talk.” When you talk to an easy going person think, “just go with the flow.”

With time, you won’t have to consciously think about the type of conversation you’re having but you have to start somewhere. You’re off on a good start if you’re able to recognize the type of conversation you’ll be having.

Notice the type of details that trigger an emotion or a response from the other person. Are they the analytical type that likes lots of details? Do they more emotions? More energy in the conversation?

If you can identify the type of details that trigger a person, you’ll be off to a good start when talking to them next time. Eventually, it’ll become easier and easier. You’ll start to notice patterns in certain types of people. Then you’ll go being able to identify people just by the way they talk or how they dress.

We’ve all heard the phrase, “Don’t judge a book by its cover.” but that saying is overrated. You can judge someone by how they look. There are always exceptions but in general, it’s a totally acceptable habit to have, but don’t be too judgemental. It’s used to get a general reading of a person.

You’ll become an expert at reading people. By starting to identify triggers within each of your employees or person in your company and adjusting your behavior slightly. It’s a great skill to have at work and life in general.

When you’re able to adapt yourself to others’ behavior, you’ll start to communicate better. Even if you’re an outsider like me, you’ll be able to engage and captivate a whole audience. Pretend it’s a Monday morning, how would say, “Good Morning” to your employees? Would you say, “what’s up!”, “how’s it going”, “hey dude”, “Hey John”, “Hey Mary”, “Good morning”, “last night was crazy…” or any other variation of those? If you said “good morning” or “Hi” and called them by their first name, you’re not doing too bad.

Let’s be clear that if you’re using any of the other phrases besides good morning or hi, you need to stop. Immediately. You may think it’s okay but it’s totally not. It’s irrespectful, your office is a workplace and needs to be treated as such.

You can’t be telling everyone “what’s up dude” and then expect them to respect you. It’s like parents telling their kid not to smoke, yet they smoke in front of their kid all the time. Your employees follow your example, not what you tell them.

Be respectful and they’ll be respectful back. Your words play an important part in describing who you are. If you are nice, lazy, cocky, confident, shy, or friendly. Watch the words you use and show respect. People appreciate it.

When you say, “good morning”, you should say it with a smile and an upbeat tone of voice. You’ll make the other person feel better and that it makes you happy to see them. Check your tone of voice when talking to someone, it plays a big part in verbal communication.

Now think about your non-verbal communication. How are you standing when you greet your employees? Are you on a high horse pose? Are you in an approachable, “hey guys”, I’m here to make sure everyone is a happy employee at this company? Are you communicating that you care about them? Think about your body language carefully.

Another aspect of body language is eye contact. Proper eye contact communicates focus and attention. Ultimately showing respect, affection and making the other person feel appreciated. However, be careful to not cross the line of staring, that’s a big difference.

The smallest details make the biggest difference. Your verbal and nonverbal communication you should be saying to your employees that you’re grateful and happy to have them there. Be friendly and genuine, even when reprimanding your employees. To communicate, “I care about you and that’s why I’m calling your attention.”

Handling tough situations is the best test for your communication skills. If you can handle a difficult situation, you can handle anything.

Always be courteous, use proper greetings, use a friendly tone of voice, have a humble posture, maintain appropriate eye contact and have a good choice of words.
